Coupang Applicant Privacy Notice - Taiwan

Coupang Taiwan Co., Ltd. and its affiliates in Taiwan (including Coupang Pay Taiwan Co., Ltd., Coupang Logistics Services Taiwan Co., Ltd., Rocket fulfillment Co., Ltd., and Full C-Pass Ltd.) (“We” or “Coupang”) are committed to managing personal information in a way that is transparent, responsible, and secure. The purpose of this Privacy Notice is to explain how we collect, process, and use personal information about applicants (“Applicant(s)”) in accordance with the provisions of the Taiwan Personal Data Protection Act and applicable laws and regulations.

1. What information do we collect

In connection with recruitment and interview processes, we may collect, process and use various types of personal information depending on the requirements of the position, such as:

1 . 1 Identification Information: name, contact information (phone number, email), nationality, date of birth, registered address, residential address, national identification number, passport number (for foreign nationals), family member information (e.g., if a family member works at Coupang, their name, relationship, and employing organization and team), and national scholarship records (applicable only to specific recruitment programs).
1 . 2 Education and Employment Information: education information (including but not limited to schools attended and degrees/licenses/certifications listed in your resume), work experience (including but not limited to employers, positions/titles, employment period, and job responsibilities listed in your resume), professional qualifications and related certificates, and information relating to conflicts of interest with former employers.
1 . 3 Compensation Information: salary records, bank account information (bank name and account number), and other information required for entering into employment contracts or salary calculation.
1 . 4 Interview Data: audio, video, and transcriptions of recordings generated by both interviewers and Applicants during the interview process.
1 . 5 Background Check Information: information collected from public sources (for specific positions, including personal information in media reports, civil and criminal records, and financial status information), and work performance information collected from your former employers or colleagues (including job responsibilities, performance and achievements, leadership skills, communication skills, interpersonal skills, personality, ethical standards, and reasons for leaving).
1 . 6 Health Information: legally required physical or health examination reports, medical history, medication usage, disease information, lifestyle habits, or other health-related information required for safety evaluations.
1 . 7 Job Preference Information: when you subscribe to job notifications, your email address, preferred work location, preferred job categories, preferred culture, and language.
1 . 8 Other Information: personal data of identification, characteristics, or other categories contained in your application or resume, driver’s license number and driving history (applicable to delivery drivers), and employer name and employee code (applicable to outsourced personnel).

If you choose not to provide the necessary personal information required for recruitment and personnel management purposes, it may affect your eligibility to participate in interviews or to be hired; failure to provide optional information or consent (e.g., job notifications) will not affect your other rights.

Note: Where Applicants provide Coupang with the personal information of a third party (for example, providing contact information of former employers or colleagues for background check purposes, or providing referee or reference information), Applicants are responsible for explaining the purpose and scope of the provision and obtaining the third party’s consent.

2. Why do we collect information/how do we use information

We collect, process and use personal information for the purposes of human resource management, compliance with legal obligations, and other legitimate purposes, such as:

2 . 1 Recruitment Process: verifying Applicants’ identity and qualifications, conducting background checks, confirming application details and hiring decisions, communicating with Applicants, handling recruitment-related requests and inquiries, preventing unfair recruitment practices, conducting satisfaction surveys, improving recruitment processes, and analyzing candidate experience.
2 . 2 Compensation Negotiation: negotiating salary and preparing employment contracts.
2 . 3 Interview Records: recording interview processes, transcribing and recording interview audio, summarizing interview results, validating interview and evaluation results, improving recruitment processes, reviewing suitability for other positions, and reviewing past interview records.
2 . 4 Work Arrangement: assignment of work location.
2 . 5 Operations: supporting recruitment operations, including talent pool registration, job notifications, operational improvement, corporate governance, accounting activities, general risk management, business communication, or other personnel measures after onboarding.
2 . 6 Policy Compliance: identifying and preventing any violation of Coupang policies, applicable laws, or any other requirements.
2 . 7 Health and Safety: protecting and promoting the health and safety of Applicants, and minimizing the risk of the spread of infectious diseases.
2 . 8 Legal and Regulatory: fulfilling or responding to requests from competent authorities or other government agencies, protecting the rights of Coupang and its employees and customers, and complying with applicable laws (including but not limited to tax, labor, occupational safety and health, and social security laws).

3. To whom and where do we transfer information

For the purposes of information collection, we may share personal information with the following parties:

3 . 1 Related Companies:
  • as a multinational corporation, Coupang shares technology and human resources across its global operations to support each other and improve operational efficiency through consistent management. We may entrust affiliates (including affiliates in Korea) to collect, process, or use Applicants’ information within the strictly necessary scope based on the purposes set out in Section 2. Personal information and related systems will be protected in accordance with the personal data protection laws and regulations of Taiwan and Korea.
  • You may choose whether to consent to us providing personal information collected during recruitment and interviews to global affiliates as independent data controllers for evaluating suitability for relevant or similar positions.
3.2 Service Providers: we may use the resources of external service providers to assist us in our operations. To the extent necessary to achieve the purposes of collection, we store or provide Applicants’ information to service providers in accordance with business needs. Such service providers are required by contract to collect, process, or use personal information only within the scope of our instructions (and not for other purposes) and to protect personal information in accordance with our standards, such as:
  • Recruitment system service providers (United States)
  • Interview recording system service providers (United States)
  • Job notification system service providers (United States)
  • Online survey tools (Taiwan, Japan)
3 . 3 Third Parties: we may also provide personal information to the following independent third parties to the extent necessary to achieve the purposes:
  • Background check vendors (Singapore, United States)
  • Former employers (for employment verification)
3 . 4 Other Parties: we may provide personal information to competent authorities or other government agencies to the extent required by applicable laws.

4. How do we protect personal information

We use administrative, technical and physical controls and processes to keep personal information secure. Some of our protective measures include:
  • 4 . 1 an internal privacy management plan that is regularly audited to ensure that safeguards are operating effectively;
  • 4 . 2 security solutions such as intrusion prevention systems to protect against external unauthorized access;
  • 4 . 3 access logs for personal information processing systems and measures to prevent tampering or alteration of the logs;
  • 4 . 4 encryption of personal information in transit and of any critical data such as passwords;
  • 4 . 5 24-hour security monitoring using systems that can detect and stop network intrusion attempts and anti-virus software to prevent damage from virus infections;
  • 4 . 6 access restriction on personal information to those staff who need access for performing specific job functions; and
  • 4 . 7 regular training on privacy and security obligations for all staff who process personal information.

5. How long do we use/retain personal information

5 . 1 We will use personal information for the duration of the purposes listed in Article 2. We will cease to use your personal information for such purposes when the purpose is fulfilled or no longer exists (e.g. when a legal relationship ceases).
5 . 2 Unless one of the following circumstances occurs, we will delete, destroy, or anonymize your personal information in an irreversible manner or render it unidentifiable upon the complete cessation of the specific purposes for which we collected your personal information:
  • The statutory period for retention.
  • Under reasonable presumption that the deletion of information shall infringe your protectable interests.
  • There is legitimate justification to suggest that the information cannot be deleted.
  • Your written consent not to delete the information.

6. Deletion and destruction of personal information

We delete electronic copies of personal information with technical methods that ensure the information is not recoverable. We destroy hardcopies of personal information via methods such as incineration or shredding.

7. What rights can you exercise and how to exercise

7 . 1 According to the Personal Data Protection Act, you may exercise your rights in terms of your personal information to us. We will fulfill your request in the statutory time period unless an exception stipulated by law applies:
  • The right to make an inquiry or access (completed within 15 days of acceptance; should there be a necessity to extend the period, a written notice stating the reasons may be issued to extend the period by a maximum of 15 days).
  • The right to request a copy (completed within 15 days of acceptance; should there be a necessity to extend the period, a written notice stating the reasons may be issued to extend the period by a maximum of 15 days.).
  • The right to make a correction or update (completed within 30 days of acceptance; should there be a necessity to extend the period, a written notice stating the reasons may be issued to extend the period by a maximum of 30 days.).
  • The right to suspend the collection, processing or use (completed within 30 days of acceptance; should there be a necessity to extend the period, a written notice stating the reasons may be issued to extend the period by a maximum of 30 days.).
  • The right to delete your personal information (completed within 30 days of acceptance; should there be a necessity to extend the period, a written notice stating the reasons may be issued to extend the period by a maximum of 30 days.).
